This agreement is between you — the practitioner applying to be listed — and Octavia Landy, operating as SPACES (Screen Practice, Advocacy, Culture & Ethics Society). It takes effect when you submit the sign-up form. It is written in plain English on purpose; nothing in it is hidden.
The SPACES Directory is a free, public resource listing practitioners who work in welfare and duty of care across the UK screen industries — psychotherapists, counsellors, coaches, neurodivergence specialists, mental health trainers and others. It exists so that a production looking to commission welfare support, a freelancer looking for their own practitioner, or a duty of care lead building a network, can find the right person.
It is free to be listed and free to use. We do not charge for inclusion, we do not offer paid placement, and we do not take a commission on any work that comes to you through it.
To be listed you must:
1. Be practising in the UK, or offering services to UK productions.
2. Hold current membership of, or registration with, a recognised professional body for your discipline — and give us the membership number so we can check it on that body's public register.
3. Hold current professional indemnity insurance appropriate to your practice, and tell us the insurer and the expiry date.
4. Be in supervision, if you are a clinical practitioner and your professional body requires it.
5. Hold a current enhanced DBS check, if the services you offer include work with under-18s or adults at risk.
6. Have relevant experience of, or training for, the screen industries — at least one production engagement, or a named referee who can speak to it.
Not every discipline in this field has a statutory register, and we know that. Where there is no register for your discipline, we list the accreditations you do hold and describe them accurately. We do not imply that one qualification is equivalent to another.
We verify your professional registration against the relevant body's public register, confirm your insurance is current, and read your free-text entry against the rules in clause 5. We record the date we checked and what we saw. Our full verification standard is published alongside this agreement, so you can see exactly what we do and do not check.
Verification takes time. We aim to publish or come back to you within ten working days of a complete submission, but at busy periods it may take longer, and we will tell you if it does.
• Everything you tell us must be accurate at the time you tell us.
• You must tell us within 30 days if anything material changes — your registration lapses or is suspended, your insurance expires, your DBS status changes, you stop practising, your contact details change, or you become subject to a fitness-to-practise or disciplinary process by your professional body.
• You must confirm annually, when we ask, that your details, registration and insurance are still current.
• You must not describe yourself using a protected or regulated title you are not entitled to use, and must not describe services in a way that implies a clinical qualification you do not hold.
• You must not name identifiable clients, contributors or productions in your listing, or include anything that would breach your own professional confidentiality obligations.
• You must comply with your own professional body's code of ethics in the work you do, including work that comes to you through the Directory.
We may edit, query or decline to publish anything that:
• Names or makes identifiable a client, contributor, production or third party.
• Guarantees an outcome, or claims a success rate we cannot see evidence for.
• Discloses your own health, disability, neurodivergence, ethnicity, religion, sexual orientation or trade union membership. If you want to include something of that kind — and there are good reasons why a practitioner might — we will come back to you and ask for separate written agreement before anything is published.
• Advertises a service outside the scope of the Directory, or reads as general advertising rather than a description of your welfare practice.
• Is defamatory, discriminatory or otherwise unlawful.
We will always tell you if we have edited or declined something, and why.
The wording to publish on the Directory itself
Inclusion in the SPACES Directory means that SPACES has verified that the professional registration and insurance a practitioner has told us about are real and current at the date shown on their listing.
It is not an endorsement, a recommendation, an accreditation, or a warranty of the quality, suitability or safety of any practitioner's work. SPACES does not supervise, manage, employ or direct anyone listed here, and is not a party to any engagement you enter into with them.
Anyone commissioning a practitioner remains responsible for their own due diligence, references, contracting and supervision arrangements. Please carry them out.
You agree that you will not describe yourself as approved, endorsed, accredited or certified by SPACES, and will not use our name or logo to imply any of those things. You are welcome to say — because it is true — that you are listed in the SPACES Directory.
You can leave at any time, for any reason or none.

Tell us in any other way — by phone, in person, on social media
We will act on it. We would rather you left easily than stayed because the exit was awkward.
We do not ask why, we do not try to talk you out of it, and there is no notice period. After removal we keep only a minimal record that a listing existed and was removed, for three years, as set out in the privacy notice. Cached or archived copies held by search engines and third parties are outside our control, though we will remove ours promptly.
We may suspend or remove a listing where:
• Your registration or insurance has lapsed, or you no longer meet the criteria in clause 2.
• Information you gave us turns out to be inaccurate or misleading.
• You have not responded to two annual reminders.
• You are subject to a fitness-to-practise finding, or an unresolved investigation, by your professional body.
• A complaint about you is upheld under our practitioner complaints and suspension policy.
Except where we need to act immediately to protect someone, we will tell you first, explain why, and give you ten working days to respond before we act. If we suspend a listing while we look into something, we will say so and will not publish the reason. Our decision is final, but you can ask us to look at it again if you have new information, and we will.

Complaints about how we have handled your personal data can also go to the Information Commissioner's Office.
If someone complains about you, our practitioner complaints and suspension policy explains the process: we will tell you what has been said, give you a fair chance to respond, and refer the matter to your professional body where that is the right route. We do not adjudicate on clinical practice — that is your regulator's job, not ours.
How we handle your personal information is set out in full in the Directory Privacy Notice, which forms part of this agreement. In short: your listing is published because you asked us to publish it, you can withdraw at any time, and we verify credentials because the Directory would be worthless if we did not.
The Directory is provided free and in good faith. We do not accept liability for any loss arising from an engagement between you and anyone who finds you through it, or from any decision anyone makes on the basis of a listing. Nothing in this agreement limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
We may update these terms. If we change anything significant we will email everyone listed at least 14 days before it takes effect, and you can remove your listing if you do not agree. This agreement is governed by the law of England and Wales.
